SPAR Österreich-Gruppe SUCCESS STORY OF A CUSTOMER PROJECT
The Spar Österreich-Gruppe has thousands of suppliers and therefore a large accounts payable department. Very many employees used to be dealing with invoice processing there. Therefore, the enterprise was looking for an invoice recognition and processing solution integrated in SAP that was exactly tailored to the requirements of the trading group.
By implementing SAP optimization FIS/edc, the productivity within the accounting department was significantly increased. Nearly one third of the invoice verification clerks could be made available for more important inventory controlling tasks.

CHALLENGES
- Invoice processing department was too large and too unproductive
- Distribution of suppliers to individual accounting clerks
- Only few suppliers use EDI procedures; the rest of them uses invoices in paper form
- Manual validation and invoice verification
- Target: a system where invoice verification takes place in the SAP standard version because everything is managed within the ERP software – from the winemaker to the chain store. At the same time, the solution should provide sufficient room for adjustments.
SOLUTION AND CUSTOMER BENEFITS
- Fast detection and rectification of errors by using electronic workflows
- Automated and electronic invoice processing for inventory controlling
- More efficient working due to a reorganization of the accounts payable department enabling each accounting clerk to process all invoices
- Debit memos to vendors can also be created without goods receipt
- Dynamic header data processing
SPAR Österreich Gruppe
SPAR Österreich-Gruppe is a Central European retail group whose activities rest on four pillars: food retail in Austria (SPAR, SPARGourmet, EUROSPAR, INTERSPAR, Maximarkt), food retail in neighboring countries (Northern Italy, Slovenia, Hungary, Czech Republic, Croatia), sports retail in Austria and abroad (Hervis) and real estate and shopping center activities in Austria and abroad (SES Spar European Shopping-Centers). SPAR Österreich-Gruppe achieves about half of its group revenues abroad and employs approximately 77,000 persons in total.
Dynamic header data processing FIS/edc AND FIS/fci
Another trade-specific characteristic of the FIS solution is the “dynamic header data processing”. The SPAR team quickly abandoned its initial plan of reading all item data of its invoices since FIS was able to implement a considerably more efficient solution. It should be sufficient that the total sum of the invoice corresponds with the purchase order. The FIS/fci OCR component only reads item data if differences occur. The fact that FIS took up suggestions from the project very quickly and implemented them showed the unique selling feature of this software partner – a standard product combined with a manufacturer that reacts very flexibly to changes.
